Set up leave policy groups

Leave policy groups let you give different leave entitlements to different segments of your workforce. Most orgs need at least three: full time, part time, and casual. You can have as many as you need.

Why use groups

Leave entitlements are not the same for everyone. Casuals don’t get paid leave. Part timers accrue pro rata. Some industries have award specific rules. Groups let you set the policy once and assign people to it instead of configuring each person individually.

Open the policy groups page

  1. Sidebar then Leave.
  2. Top right, Leave settings then Policy groups.

What’s in a group

Each group sets:

  • Annual leave. Days per year, accrual rule (per pay period or monthly), max balance cap, can go negative, how unused balance carries over.
  • Personal/carer’s leave. Days per year, accrual.
  • Long service leave. State based, links to your LSL state config (see Configure long service leave by state).
  • Compassionate leave. Days per occasion, who needs to approve.
  • Parental leave. Paid component, unpaid component, eligibility.
  • Other leave types your org needs (study, jury duty, family and domestic violence leave, ceremonial).

Create a group

  1. Add policy group.
  2. Name it (e.g. “Full time permanent”).
  3. Set each leave type’s rule. Defaults match the National Employment Standards.
  4. Save.

Assign employees

  1. Open the group.
  2. Members tab.
  3. Add members, search and tick.
  4. Save members.

You can also bulk assign from the employee list: select rows, Update policy group.

Existing balances

Changing someone’s group does not retroactively change their accrued balance. The platform applies the new accrual rule going forward only. If you want to reset balances to match a new policy, do that with Import leave balances.
