Configure work patterns
A work pattern is the days and hours someone is scheduled to work each week. The platform uses it to deduct leave correctly. A part timer on Monday, Wednesday, Friday should not lose 5 days of leave for a week off, only 3.
Open the work pattern settings
- Sidebar then Leave.
- Leave settings then Work pattern.
You see a grid: employees down the side, days of the week across the top, hours per day in each cell.
Set a pattern
- Find the employee.
- Click into a day to set hours (e.g. 7.6 for a standard day, 0 for a non working day, 4 for a half day).
- Tab through the week.
- Save.
The platform uses the pattern to calculate:
- How many hours a leave request actually deducts
- Accrual amounts for leave types that accrue per hour worked
- The expected hours on a timesheet for the week
Common patterns
- Standard full time. 7.6 hours per day, Monday to Friday.
- 9 day fortnight. 8 hours per day, alternating Friday off.
- Part time, 3 days a week. Hours on Mon/Wed/Fri, 0 on Tue/Thu.
- Casual. Often left at 0 across all days. Casual leave usually doesn’t deduct from a balance.
Self service
Employees can view (but not edit) their own work pattern under My Workspace then My Work Pattern. If they think the pattern is wrong, they ask their manager or admin to update it.
Updating a pattern
When a pattern changes mid year:
- Update the pattern in this view.
- Decide whether to prorate the existing balance to match the new pattern. The platform asks you when you save.
- Save.
A pattern change is logged for audit.
