Approve your team's timesheets

When a direct report submits their weekly timesheet, you’ll see it in your approval queue. Approve it for payroll, or reject it back to them if something needs fixing.

Find pending timesheets

  1. Open the Timesheets area.
  2. The default view shows your team. Pending submissions are flagged with a count.

Review a timesheet

Click into a team member’s row to expand and see their week:

  • Clock in and out times for each day
  • Break minutes
  • Hours total per day
  • Notes the employee added

Look for things that need investigating:

  • Missing days. Did they actually not work, or did they forget to clock in?
  • Unusually long days. Were they working overtime, or is there an error?
  • Late clock outs without break. Possible they forgot to log a break.
  • Manual entries. Days where they typed times in rather than clocking in/out live. Worth a sense-check.

Approve

If the week looks right:

  1. Click to approve.
  2. Confirm.

The timesheet is locked and feeds into payroll. The employee gets a notification.

Edit on the employee’s behalf

If a day is wrong but the employee can’t easily fix it (e.g. they’re on leave today), you can edit the day’s clock in/out, breaks, or notes yourself before approving. Your edit shows up in the audit log so the change is traceable.

Reject and send back

If something’s wrong that the employee needs to fix:

  1. Click to reject.
  2. Add a rejection reason (required, so the employee knows what to fix).
  3. Confirm.

The employee gets a notification with your reason. They edit and re-submit.

Bulk approve

If your team has lots of timesheets and you’ve spot-checked them all, you can approve in bulk. Tick the rows you want to approve and click the bulk action.

Use bulk approval carefully. The whole point of approval is that you’ve genuinely reviewed the hours. If you’re approving 30 timesheets in a row without looking, you’re rubber-stamping rather than approving.

Export for payroll

When you’re done approving, export the week’s data as CSV from the team view. CSV columns include employee, day, clock in, clock out, breaks, total hours. Send to your payroll provider, or import into your payroll system.

Permissions

Managers see their direct reports’ timesheets only. Admins see all employees’ timesheets across the org.
