Run the headcount report
The headcount report is the simplest snapshot of your workforce: who’s active, what employment type, what department.
Open the report
- On the left hand sidebar, under Tools, click Reports.
- Click Headcount.
What the report shows
Summary cards at the top:
- Total active. Everyone with status Active.
- Full time. How many full-time staff.
- Part time. How many part-time staff.
- Casual. How many casual staff.
- Contractor. How many contractors.
Charts below:
- By department. Bar chart showing headcount per department.
- By employment type. Bar chart segmenting the same data the other way.
Filters
- Date range. From and to dates. The report shows headcount as it stood at the end of the date range. Useful for “what was our headcount at end of FY 2024”.
Export to CSV
Click the export action to download a CSV with one row per employee and the columns: name, job title, department, employment type, status, start date.
The CSV is everything that contributes to the on-screen totals, so you can do further analysis in a spreadsheet if needed.
Permissions
The headcount report is visible to managers and admins. Employees don’t have access to organisation-wide headcount.
Managers see the same numbers admins see (no scoping by team), so a team lead can also see total org headcount.
A note on definitions
- Active means status = Active. It excludes Onboarding, Offboarding, and Terminated.
- FTE isn’t currently calculated. The platform shows headcount in numbers of people, not full-time equivalents. If you need FTE for a payroll or budgeting purpose, calculate it from the part-time and casual hours separately.
