Use the AI Reports Assistant
The AI Reports Assistant lets you ask questions about your workforce data in plain English. It’s powered by Claude and grounded in your actual platform data.
Open the Assistant
- On the left hand sidebar, under Tools, click Reports.
- Click AI Assistant.
A chat panel opens.
What it can answer
Questions you can ask, with the kind of answer you’ll get back:
- “How many active employees do we have?” Returns the headcount number with breakdown by employment type.
- “How much annual leave was taken this year?” Returns total days and a quick summary.
- “How many people are mid-onboarding?” Returns counts by status.
- “Which jobs are still open?” Lists active jobs with applicant counts.
- “Show me everyone in Sales.” Generates a table.
- “Build me a report of all part-time employees in Operations sorted by start date.” Configures a custom report and runs it.
The Assistant has access to:
- Headcount summary (total active, full time, part time, casual, contractor counts)
- Leave statistics (year to date)
- Onboarding statistics
- Open jobs and candidate counts
It DOES NOT have access to sensitive fields (TFN, bank, super) or to performance review content.
How it works
You type a question. The Assistant:
- Pulls the relevant slice of your data into context.
- Sends your question and the data to Claude with a system prompt tuned for workforce analytics.
- Returns either a text answer, or a configured custom report (or both).
If the Assistant generates a report config, it auto-runs the custom report and shows you the result. So you can ask “give me a list of all managers with more than 5 reports” and get a ready-to-export table back.
Tips for getting useful answers
- Be specific. “Annual leave taken this quarter by department” gets a sharper answer than “leave stats”.
- Reference real terminology. Use “annual leave”, not “vacation” or “PTO”. The system uses Australian HR vocabulary.
- Follow up. The Assistant remembers the last 6 messages of the conversation. So you can ask a question, then refine: “now break that down by month”.
- Ask for the export. “Show me X” gives you a table on screen. Add “…as a CSV” to get a downloadable file.
What the Assistant ISN’T
It’s not a database query tool. It can’t reach into arbitrary tables or join data in ways you’d expect from SQL. It works within a curated set of pre-defined queries the platform team has set up.
It’s also not a replacement for the standard reports (Headcount, Turnover, Leave, Onboarding, Compliance, Documents). For routine reporting, those are still the cleanest path. The Assistant is for ad hoc questions where you’d otherwise have to figure out the right filter combination yourself.
Permissions
Managers and admins. The Assistant respects your existing data permissions, it can’t surface data you wouldn’t have access to via the regular reports.
