Invite an employee to the platform

Adding an employee creates their record. It does not give them access to the platform. To let them log in, you send them a platform invite.

You’d typically use this after a bulk CSV import, or when you’ve added someone with Active status and now want them to start using the system.

Invite one or more employees

  1. On the left hand sidebar, under HR Hub, click All Employees.
  2. Tick the checkboxes next to one or more employees in the list.
  3. A selection bar appears at the top of the page. Click Invite to Platform.
  4. A dialog opens titled Invite Selected Employees to Platform. Pick an email template (or use the default) and click send.

That’s it. Each invitee gets an email with a link to set their password and sign in. Onboarding starts in the background for new starters.

What the invitee sees

The email comes from your organisation, with a button or link that takes them to a set-password page. Once they pick a password, they’re signed in to the platform and can complete any pending onboarding tasks.

If your organisation requires 2FA, they’ll be prompted to set it up on first sign in.

Who can be invited

The system checks each selected employee before sending. Anyone who:

  • Doesn’t have a work email on their record will be skipped.
  • Already has an active account will be counted as already invited and skipped (no duplicate emails).

The response after sending tells you how many were invited, how many were already invited, and any errors.

Bulk invites

You can select as many employees as you like before clicking Invite to Platform. They’re all processed in one go.

CSV imports do NOT auto-invite

Worth repeating, this trips people up regularly. When you bulk import via Import Employees, the new records are created with Active status and no invite is sent. You need to come back to the All Employees page, select the imported rows, and click Invite to Platform when you’re ready for them to log in.

This is intentional. It lets you finish setting up policies, leave settings, and onboarding documents before anyone starts logging in for the first time.

Who can do this

Admins only. The platform’s API requires admin permission to send invites, so even if a manager sees the invite button, the action will be blocked at submit time.
