View documents shared with you

Every document your HR admin has filed against you, plus everything you’ve signed since joining, lives on your My Documents page.

Open My Documents

  1. On the left hand sidebar, click My Documents.

You’ll see a list of every document on your record, grouped by status.

What’s on the page

Each document row shows:

  • The document title
  • The document type (contract, policy, certificate, etc.)
  • The date it was added or signed
  • A status:
    • Acknowledged or Signed: you’ve completed it
    • Pending signature: the platform is waiting on you to sign
    • Read only: a reference document, no action needed

You can also see signature requests that are still waiting on someone else (e.g. your contract waiting for HR to countersign).

Download a document

Click into any document to open it in the platform. From there, you can usually download a copy as PDF.

For signed documents, the downloaded copy includes the signature audit trail (who signed, when, IP) so it’s a valid record on its own.

Documents you can’t see

A small number of documents may be marked confidential by your HR admin. These are visible to admins only and won’t appear on your My Documents page. Examples might include internal HR notes or documents being prepared for a sensitive conversation.

If you think a specific document should be on your file but isn’t, ask your HR admin. Under the Privacy Act, you have the right to access information held about you (with some exceptions); your HR admin can walk you through what’s on your record. For formal access requests, you can also email privacy@yourhrtoolkit.com.au.

Old contracts and superseded documents

If a document has been replaced (e.g. a new contract supersedes an old one), both copies stay on your record. Old documents aren’t deleted, they’re kept as part of your employment history.

Linking back to policies and onboarding tasks

Some documents on My Documents are also tasks elsewhere on the platform:

  • A contract that’s pending signature also shows on your dashboard’s Docs to Sign card.
  • A policy that needs acknowledgement also shows on My Policies with an Action required badge.

Whichever entry point you use, signing or acknowledging the document clears the related task on every surface.
