Track who has and hasn't acknowledged a policy
Once a policy is assigned, the platform tracks every acknowledgement against it. As an admin you can see the running total at a glance, and drill into a specific policy to see who’s still outstanding.
See acknowledgement counts at a glance
- Open the admin policy library.
- Each policy row shows an acknowledgement count, e.g. “12 acks” or “Not required” if acknowledgement isn’t on for that policy.
- The count updates in real time as people acknowledge.
You can filter the library by status (Active, Expired, Withdrawn) and search by title to narrow the list.
See who’s outstanding on a specific policy
Open the policy from the library to see a per-employee breakdown:
- Acknowledged. Name, the date and time they acknowledged, and the policy version they signed.
- Not yet acknowledged. Name, when the policy was assigned to them, and any deadline that was set.
For audit purposes, the acknowledgement record includes the policy version. So if a policy is updated later, you can prove who acknowledged which version.
Following up
The platform doesn’t currently auto-nag employees about overdue acknowledgements. Common ways admins follow up:
- Use the Comms module to send a reminder email to the outstanding-only group.
- Mention it in your next all-hands or team meeting.
- For specific high-priority policies (WHS, Code of Conduct), follow up individually with anyone outstanding.
What about expired policies?
Expired policies still show their acknowledgement count for compliance records. The list is preserved, so you can prove who acknowledged the policy while it was active. When you publish an updated version, the new policy starts a fresh acknowledgement cycle.
