Track who's mid-onboarding
The Onboarding view in the HR Hub is your dashboard for everyone currently mid-onboarding. It shows status, progress, and flags anyone who’s stuck or has overdue tasks.
Open the onboarding view
- Sidebar then HR Hub then Onboarding.
- You’ll see every employee whose status is currently Onboarding, plus anyone whose onboarding is recently completed.
Each row shows:
- The employee’s name
- Their start date
- Status: Not started, In progress, or Complete
- Progress percentage (calculated from completed tasks vs total tasks in the workflow)
- Their assigned manager
- Date onboarding was triggered
What each status means
- Not started. The new starter hasn’t signed in yet, or has signed in but hasn’t begun any tasks.
- In progress. They’re working through tasks. Progress bar shows how far.
- Complete. They’ve finished all required tasks and confirmed.
Spotting stuck or overdue cases
A few signals tell you when someone needs a nudge:
- Not started more than a few days after start date. They might not have got their welcome email, or set their password yet. Check email bounces and resend the invite if needed.
- Stalled in progress. Progress hasn’t moved in a week or more. Often this means they’re stuck on a specific task (a missing document, a contract question, an IT issue).
- Overdue tasks within the workflow. Specific tasks have due dates driven by the email sequence (e.g. “complete TFN by day 3”). Tasks past their due date show as overdue.
Open an individual onboarding to see detail
Click into any row to see the full detail:
- Every task in the workflow with current status
- Which tasks they’ve completed (with timestamps)
- Which they haven’t started, in progress, or stuck
- Email sequence (which emails have sent, which are pending)
- Any notes the new starter has added
This lets you see exactly where they are and what’s blocking them.
Following up
The platform doesn’t currently auto-nudge new starters who are stuck. Common ways admins follow up:
- Email the new starter directly with the specific blocker (e.g. “Hi Sarah, I noticed you haven’t signed your contract yet. Any questions? Happy to chat through it.”).
- Loop in their manager. Often a quick conversation between manager and new starter sorts a stuck step.
- Use the Comms module to send a templated reminder.
Workflow run audit
For each onboarding, the platform also keeps a workflow run log. This is the technical view: every step the workflow engine has taken, when, and what the result was. Useful for diagnosing things like “the welcome email never sent” or “the manager intro task didn’t fire”.

Completed onboardings
Once an onboarding is complete, it stays in the list as a record. You can filter to Active vs Recently complete vs All to focus on what’s still in flight.
