Distribute a form via share link
Once you’ve built and activated a form, the next step is getting it in front of your team. The platform uses a simple share link approach: copy a URL and send it.
Get the share link
- Open the Forms area.
- Find your form in the list.
- Click the Share Link action.
The form’s submission URL is copied to your clipboard. Paste it where you want.
Where to share
The link works anywhere you can paste a URL:
- An email to specific employees
- A Slack or Teams message
- The platform’s Comms module (send to a group of employees)
- A team meeting agenda
- A wiki or intranet page
- A QR code on a poster
The link is permanent for the life of the form. If you re-share it later, the same URL still works.
Anyone with the link can submit
The form doesn’t gate by role or membership. Whoever has the link can fill it in. This is by design — keeps things simple.
If you don’t want random platform users seeing the form, don’t put the link somewhere they can find it. The platform doesn’t actively prevent in-org sharing.
For genuinely confidential forms, the platform isn’t currently the best tool — talk to your IT team about alternative options.
See the responses
Submissions appear in the form’s Results view. Open the form and click into Results. You see one row per submission with all the field values.
Filter and export
The Results view supports basic filtering and CSV export. Use export when you want to do further analysis in a spreadsheet.
Tracking who’s submitted vs not
If you sent the form to a known group (e.g. “all employees in Operations”), you can compare the submission list to your employee list to see who hasn’t filled it in yet. This isn’t automatic — the platform doesn’t auto-chase non-responders.
For chase-up, the Comms module is the best follow-up tool: send a reminder email to the outstanding-only group.
Closing the form
When you’ve collected enough responses or the form’s purpose is done:
- Open the form’s settings.
- Untick Active.
The link still resolves, but the form shows a “form is no longer accepting responses” message.
Permissions
Anyone the form is shared with can submit. Managing the form (build, share, see responses) is admin/manager.
